An AI scribe is a secure computer tool that listens to your conversation with your GP (with your permission) and creates a draft of the clinical notes. Your GP reviews, edits if needed, and approves the notes before they become part of your medical record.

The AI scribe is designed to reduce the amount of time GPs spend typing notes during appointments. This allows your GP to focus more on listening to you and maintaining eye contact, rather than looking at a computer screen.

Audio is processed in real time during the appointment and deleted immediately after transcription (transferring it to text). The recording is not stored, so it will not be possible to check or reference the appointment audio after the event. The only thing that is stored is the transcript (text) of the appointment and this is deleted automatically after 30 days. The exception to this is all telephone calls in and out of the GP surgery are recorded as normal and this remains unchanged with AI scribe.

No. The AI does not diagnose conditions, prescribe medication, or make decisions about your treatment. Your GP remains fully responsible for your care and reviews all notes before they are added to your medical record.

Yes. The practice only uses AI systems that meet NHS and UK data protection requirements. Your personal information is handled securely and confidentially, in the same way as the rest of your medical record.

Only authorised healthcare professionals involved in your care can access your medical records. The AI scribe does not replace the practice's existing confidentiality and information governance policies.

No, the system does not train AI models on patient or personal data, so your information always remains private and under your control.

No. You can choose not to have an AI scribe used during your appointment. Your care will not be affected if you prefer your GP to take notes in the usual way.

Yes. We will happily document this in your notes; however, there is a lot of information in the notes and so it is a good idea to check each time that the GP is aware of your preferences.

During the pilot, your GP will explicitly ask you whether you are happy to use the AI scribe at the beginning of each appointment. Simply let your GP know and they will manually document the appointment in the notes.

If the pilot is successful and both patients and GPs find the system useful, efficient and safe, then we will move on to a ‘implied consent’ system, where the scribe will be used unless you specifically ask for it not to be used. Your choice will always be respected.

No. The aim is to make appointments more efficient and allow your GP to spend more time focusing on you. All appointments will remain at 10 minutes but with AI scribe we anticipate more of this will be able to be used listening to you.

Like any technology, AI can occasionally make errors. This is why your GP carefully reviews and edits the notes before they are saved in your medical record.

You may notice that your GP spends less time typing and more time speaking with you. Otherwise, your appointment should feel much the same.

AI scribes are designed to recognise medical conversations, but they are not perfect. Your GP checks the draft notes for accuracy and completeness before they are finalised.

Your privacy remains a priority. The practice continues to follow strict NHS confidentiality rules and UK data protection laws when using any digital tools.

Yes. Your GP or a member of the practice team will be happy to explain how the AI scribe works and answer any questions you may have.

Yes. GPs, nurses, and allied health professionals such as clinical pharmacists or paramedic practitioners are able to use AI scribe during their appointments with you. You will be consented and treated in exactly the same way as described above with GPs.

Admin staff such as receptionists, call handlers, or prescription administrators will not be using AI scribe.

Yes. All GPs and relevant clinical staff (nurses, paramedic practitioners, clinical pharmacists etc) will be fully trained on how to use and check AI scribe.

No. AI scribe is available to all GPs and other clinical staff during appointments; however, some may choose not to use this software and instead document your appointment manually. This will be down to GP preference.
